TERMS AND CONDITIONS

These Terms and Conditions form part of your agreement with Westfield Clinic. Your consultation and or treatment will constitute acceptance of these Terms and Conditions when you become a client. For the purpose of these terms and conditions, Liana Cook will constitute as The Therapist and you The Client.

Westfield Clinics promise to you

· Excellent customer care, treating you The Client with dignity and respect

· To provide a safe and confidential setting to receive your treatment

· Deliver good customer service by responding to all enquiries within 72 hours (business days)

· Client information will be kept strictly private and confidential

· To treat you with the best therapies, of the highest quality

.  The Therapist has the right to cancel any appointment after the consultation if the Therapist feels it is in the Client's or Therapist's best interest for the treatment to not go ahead.

 

Clients promise to Westfield Clinic

· You are required to arrive on time for each treatment, for late arrivals the treatment time will be reduced.

· You understand and agree that it is your responsibility to inform the Therapist of any conditions or changes to your health, now and ongoing, as these may affect/and or contraindicate you from treatment.

· If your Therapist requires further medical information from a practitioner, you must provide such details.

· You consent to before and after photographs being taken when having Laser and/or IPL treatments.

· Your Therapist cannot be held liable in any way for undeclared or unknown medical conditions.

· You understand that this treatment is not a substitute for medical advice and/or treatment

 

Payment

· Payment for treatments must be made in full on the day of your treatment.

· A course of treatments must be paid for in advance to qualify for the discounted rate

Most credit and debit Cards are accepted, American Express, Apple/Google Pay, BACS transfer, cash or cheque. All prices include value-added tax at the current rate.

 

Cancellation 

· A minimum of 48 hours’ notice of cancellation or postponement is required for all appointments. Repeated cancellations or postponements within this time will be required to pay 50% upfront of any future appointments.

· Notice of less than 24 hours will incur 50% payment of the Treatment fee booked, failure to pay this will result in no further bookings being made.

· Unforeseen events will be taken into consideration on the day.

Refunds

· Once purchased, your Treatments are non-refundable and non-transferable. We run a strict NO Refund policy. However, we will go through all possibilities to come up with a satisfactory solution to your query.

Deposits

All deposits are non-refundable. If an appointment is cancelled within our cancellation policy the deposit will stay on account, redeemable for 3 months from paying your deposit.

 

Punctuality

Arriving late may interfere with your treatment, all appointments will end at their scheduled time so that the next client will not be delayed, and a full charge may be applied. All times stated include preparation of the room and client at the beginning and end of treatments.

Gift Vouchers

Gift Vouchers are non-refundable and are valid for 6 months from the purchase date and will not be accepted after the expiry date. Vouchers may be used for all services. Vouchers cannot be redeemed for cash, sold, or transferred. You are not under obligation to use the full value of your vouchers during one session. Late cancellation and “failure to show” terms as laid out above also apply to gift vouchers.

Purchase of Retail Products

All products must be paid for in full at the time of purchase or ordering.

Price Alteration

We reserve the right to alter prices without prior notice.

Smoking

Smoking or vaping is not permitted anywhere in the Clinic.

Consultations

With the exception of laser tattoo removal, all our consultations have no charge, and some of the treatments require a mandatory consultation, including all laser/IPL treatments and electrolysis.

During the consultation you will have time to ask questions, treatment will be explained, other options considered, possible side-effects and any downtime discussed, outcomes and duration of results. We provide comprehensive aftercare advice and you will be given a copy of this during your consultation, this can also be emailed to you after your visit to the clinic.

Patch Testing

Patch testing is required for ALL clients who are having Laser Treatments for the following:

If you have ever had laser treatment at our clinic

If 6 months have passed since your last laser treatment with us.

If you want a different area of your face or body treated.

If you have changed your medication which includes a photosensitising medication

Medical Conditions

Please inform us of any medical condition including pregnancy prior to booking as some treatments may not be appropriate for you.

Photographs

Before and after photographs (of the treatment area only) for specific treatments, such as laser and IPL treatments, will be taken for insurance and legal purposes. Without these photographs, treatment cannot go ahead. Photographs are strictly private and confidential and will be stored in line with the privacy policy and not disclosed to any third parties unless for legal reasons.

Lesion screening

 * You need written confirmation from a licensed medical practitioner, such as a dermatologist or GP that any skin cell growths (skin tags, moles, or other forms of growth) are non-malignant before treatment with us. GP's sometimes charge a small fee for this.

If you are in a hurry, we have do have a lesion check service available from a registered dermatologist, and reports come back within 48 hours, the service cost £60, click here for more information.

We cannot treat:

X Condyloma acuminate (genital warts) 

X Actinic keratosis (pre-cancerous skin lesions)

X Malasma​​​​​

 

Liability

The Therapist and/or Westfield Clinic (the “Company”) does not accept liability for any errors and omissions and reserves the right to change information, specifications and descriptions of listed packages and services. The Therapist and/or the Company will use reasonable effort to correct errors and omissions as quickly as practicably possible after being notified of them.

The Therapist will only be liable for direct loss up to a maximum total of the price of the treatment purchased by the Client if the fault is of The Therapist.

The Therapist shall not be liable for any loss or injury attributable to:

· The Client’s fault

· A third party unconnected with the provision of services provided by your Therapist; or events which your Therapist, nor her suppliers or agents could have foreseen or forestalled, even if they had taken reasonable care.

. The Therapist is not liable if you do not follow all the aftercare advice or recommendations which a written copy is provided to you during consultation.

. The Therapist is not liable if you do not inform us of any change to your medical health, or condition, a change of medication, or if you have tanned your skin through intention or not (specific to all laser, cryotherapy, diathermy, electrolysis, microeedling and sclerotherapy treatments).

 

General, Privacy and Consent

You are responsible for keeping all your contact information and marketing preferences up to date with the Therapist.

The Therapist will collect personal details such as your name, email and telephone numbers. This information is used to identify you and contact you about the appointments and services you have booked.

When you provide The Therapist with your personal information through completing your consultation form,  making a payment or contacting The Therapist about their services, you are giving your consent to The Therapist collecting that information and using it for that specific reason.

The Therapist will not use your personal information for any secondary reason unless The Therapist asks you directly for consent to do so.

Data

For the purpose of legal protection, The Therapist is required to hold the personal information you have given to them to provide you with treatments and the notes about those treatments for a minimum of seven years.

Seven years after your last treatment Westfield Clinic will permanently delete all your personal information held.

Should you wish to withdraw your consent regarding your personal information please email with your request.

You also have the right to request Westfield Clinic to update or amend your data if it is incorrect.

Hygiene

Clinic Hygiene is, of course, the utmost importance and to achieve optimal cleanliness all our sterilisation equipment is approved by the local Environmental Health Officer. We only use new sterilised disposable needles for each client which are stored safely in a sharps container and collected along with any hazardous waste for official safe waste disposal.

Children

Please understand that we cannot accommodate children in the clinic.

Treatment of minors is accepted with parental presence and written permission for the following:

Laser Hair Removal  / Cryotherapy - age 14+

Personal Items

Please ensure you retrieve all your personal items before leaving the premises as we cannot be held responsible for lost items.

Complaints Procedure

We endeavour to provide a professional and satisfactory service to all of our consumers, however, we understand from time to time our clients may have feedback about our service. We are always open to receiving feedback to help improve our services.

To resolve any issues experienced from treatments, the first step of our complaint procedure is:

  1. A follow-up appointment will be required, we will not be able to resolve any issues unless reviewed in consultation.

  2. A written and detailed letter/email prior to attending your consultation will be required to understand any issue involved.

  3. If you have electively sought an opinion or treatment elsewhere in association with your current issue, the last treating clinic will then be responsible for you and your care moving forward.

  4. If we were to require additional support or professional opinions based on an uncertain presentation, then we have processes in place to do so.

 

Disclosure

Unless required to do so by law, Westfield Clinic will not otherwise share, sell or distribute any of the information you provide without your consent.
