TERMS AND CONDITIONS

These Terms and Conditions form part of the agreement between you (“the Client”) and Westfield Clinic (“the Clinic”, “we”, “us”). By booking a consultation or undergoing treatment, you agree to be bound by these Terms.

For the purposes of these Terms, Liana Cook is referred to as “the Practitioner”.

 

1. Our Commitment to You

We aim to:

  • Provide a professional, safe, and confidential environment

  • Treat all clients with dignity, respect, and care

  • Deliver treatments to a high professional standard

  • Respond to enquiries within 72 business hours where possible

  • Maintain strict confidentiality of client information

  • Act in the best interests of both client and practitioner, including reserving the right to decline or cancel treatment where appropriate

 

2. Client Responsibilities

By attending your appointment, you agree that:

  • You will arrive on time for all appointments

  • Late arrival may result in reduced treatment time without reduction in cost

  • You will provide accurate, complete, and up-to-date medical information

  • You will inform us of any changes to your health, medication, or circumstances

  • You will follow all pre- and post-treatment advice provided

  • You understand treatments are not a substitute for medical advice or care

  • You accept that failure to disclose relevant information may affect results and safety

The Clinic is not liable for complications arising from undisclosed or unknown medical conditions.

 

3. Treatment Understanding & Expectations

By booking, you confirm that:

  • You have read and understood the information provided (including FAQs and aftercare guidance)

  • You understand all treatments carry potential risks and results vary between individuals

  • No guarantees can be made regarding outcomes, longevity, or satisfaction

  • The number of sessions required cannot be guaranteed

 

4. Photographs

  • Before and after photographs may be required for certain treatments (e.g. laser/IPL)

  • These are taken for clinical, insurance, and legal purposes

  • Refusal to consent may result in treatment being declined

  • Images are stored securely and handled in accordance with our Privacy Policy

 

5. Payment

  • Payment is due in full at the time of treatment unless otherwise agreed

  • Courses must be paid in advance to qualify for discounted pricing

  • We accept major debit/credit cards, American Express, Apple Pay, Google Pay, BACS, and cash

  • All prices include VAT where applicable

 

6. Deposits

  • Deposits are non-refundable

  • If cancelled within policy, deposits remain on account for up to 3 months

  • Deposits may be forfeited outside cancellation terms

 

7. Cancellation Policy

  • Minimum 48 hours’ notice is required to cancel or reschedule

  • Less than 24 hours’ notice will incur a charge of 50% of the treatment cost, or you loose that session if you were booked in for a discounted course of treatments.

  • Repeated short-notice cancellations may require prepayment for future bookings

We may consider exceptional circumstances at our discretion.

 

8. Refund Policy

  • All treatments and courses are non-refundable and non-transferable

  • We do not guarantee results

  • Where appropriate, we will work with you to resolve concerns

This does not affect your statutory rights under UK consumer law.

 

9. Patch Testing

Patch testing is required for laser treatments:

  • Prior to first treatment

  • If more than 6 months has passed

  • If treating a new area

  • If there has been a change in medication which includes photosensitising medication.

 

10. Medical Conditions

You must inform us of:

  • Pregnancy

  • Medical conditions

  • Medication changes

We reserve the right to refuse treatment where contraindicated.

 

11. Lesion Treatment

Written confirmation from a qualified medical practitioner (such as a GP or dermatologist) is required prior to treatment of any skin lesion. This must confirm that the lesion (including skin tags, moles, or other growths) is benign (non-malignant).

Please note that GP practices may charge a fee for this service.

If you require a faster assessment, we offer access to a lesion screening service provided by a registered dermatologist. Results are typically returned within 48 hours. Click here for further information.

We are unable to treat the following conditions:

  • Condyloma acuminata (genital warts)

  • Actinic keratosis (pre-cancerous skin lesions)

 

12. Hygiene & Infection Control

We maintain the highest standards of hygiene and infection control throughout the clinic.

All equipment is cleaned, sterilised, and maintained in accordance with current health and safety regulations and Environmental Health guidelines. Where applicable, we use single-use, sterile, disposable items for each client.

All sharps and clinical waste are disposed of safely and in accordance with licensed hazardous waste disposal procedures.

 

13. Liability

  • The Practitioner and/or Westfield Clinic accepts liability only for direct loss resulting from proven negligence, up to the value of the treatment paid

  • The Practitioner and/or the Clinic is not liable for:

    • Undisclosed medical conditions

    • Failure to follow aftercare advice given

    • Third-party treatments or advice

    • Events beyond our reasonable control

 

14. Data Protection & Privacy

  • We collect personal data to provide safe and effective treatment

  • Data is processed in accordance with UK GDPR and our Privacy Policy

  • Records are retained for a minimum of 8 years as required

  • You have the right to access, correct, or request deletion of your data (where legally permissible)

 

15. Clinic Policies

Punctuality

Late arrival may result in reduced treatment time and full charges still apply.

Opening Hours

Hours may vary due to operational needs. Contact us via email if required.

Gift Vouchers

  • Valid for 6 months

  • Non-refundable and non-transferable

  • Cannot be exchanged for cash

Retail Products

  • Must be paid in full at purchase

  • Standard consumer rights apply

Pricing

Prices may change without prior notice.

Smoking

Smoking and vaping are not permitted on the premises.

Children

  • Children are not permitted in the clinic

  • Minors (14+) may be treated with parental consent and presence

Personal Belongings

We are not responsible for lost or unattended items.

 

16. Complaints Procedure

If you are dissatisfied:

  1. Contact us in writing with full details

  2. Attend a review consultation if required

  3. We will assess and aim to resolve the issue fairly

If treatment has been sought elsewhere, responsibility for ongoing care may transfer.

 

17. Disclosure

We will not share your information with third parties unless required by law or with your explicit consent

By booking an appointment or undergoing treatment at Westfield Clinic, you confirm that you have read, understood, and agreed to these Terms and Conditions.

We reserve the right to update or amend these Terms at any time. The most current version will always apply and will be available on our website.

These Terms are governed by UK law and do not affect your statutory rights as a consumer.
